Getting started
Who is Freight Manager for?
Freight forwarding and clearing agencies moving cargo through East African corridors — Mombasa and Dar es Salaam inland to Kigali, Kampala and Bujumbura. It suits a team of two as readily as a team of forty; what it replaces is the WhatsApp-plus-Excel-plus-manual-PDF way of running a desk.
How long does setup take?
An afternoon. You add your company details and logo, add a client, and create a shipment — the checklist in your dashboard walks you through it. There is no data-migration project and no consultant.
Can you import my existing shipments and clients?
Not automatically — there is no bulk importer yet, so historical records are entered by hand or simply left where they are. Most teams start clean with their next booking and let the old spreadsheet run out. If you have a large back catalogue you need moved, email sales@freightmanager.africa and we will look at it with you.
Does it work on a phone?
Yes. The whole app is responsive down to a 320px screen, which matters when your ops lead is standing at a border post rather than at a desk.
Shipments and documents
Which freight modes are supported?
Sea (FCL and LCL), air and road haulage. Each shipment carries the route, mode, container details and client, and moves through statuses your whole team reads the same way.
Which customs documents can it generate?
T1 transit declarations, WH7 warehouse entries, IM4 import entries and exit notes, plus commercial invoices and packing lists. Each is generated server-side as a PDF, numbered sequentially per year, and filed against the right shipment. It is a document tool, not a customs broker — you remain responsible for what you declare.
Where are the documents stored?
In private object storage. Nothing is publicly addressable: every download goes through a signed link that expires after an hour, and each access is written to your audit log.
Do my clients get to see their shipments?
Yes — each client gets a live portal link with no login required. It shows their shipments, documents and invoices, and only theirs. That link is what stops the “any update?” calls.
Do you send WhatsApp messages to my clients?
Not on your behalf, and we would rather be straight about it. Delivering through the WhatsApp Business API needs a Meta-approved sender, so instead we prepare the message and open WhatsApp with it already written — you send it from your own number, which is the number your clients already know. Status emails, by contrast, the platform does send itself.
Billing
How much does it cost?
Three plans: Starter at $49/month, Growth at $149/month and Enterprise at $349/month, with 20% off if you pay annually. Full breakdown on the pricing page.
Is there really no card needed for the trial?
Correct. 14 days, full product, no payment details. Nothing can be charged to you during a trial because we have not asked you for anything to charge.
How do I pay, and in what currency?
Mobile money (MTN and Airtel) or card, through XentriPay. Prices are quoted in USD and settled in Rwandan francs; the rate applied and the RWF amount are recorded against every payment so your books reconcile. Card details are entered on the gateway's side — we never see or store a card number. Bank transfer is available on request via sales@freightmanager.africa.
Will you charge me automatically every month?
No — and this is different from most SaaS. Our gateway has no stored-mandate facility, so each renewal puts an approval prompt on your admin's handset. Nothing leaves your account without somebody approving it. The flip side is that you have to approve it, so we email you before the charge is due.
What happens when my trial or subscription ends?
The workspace goes read-only. You keep full access to read and export everything — shipments, invoices, documents — and nothing is deleted. Subscribe whenever you are ready and you carry straight on.
Can I cancel?
Any time, from the billing tab, with no phone call. You keep the workspace running until the end of the period you have already paid for, and you can undo the cancellation while that period is still going.
Data and security
Where is my data held?
The database is in the af-south-1 (Cape Town) region, so your records stay on the continent you trade in. The full list of providers we use is in the privacy policy.
Can another company see my shipments?
No. Every record carries a tenant identifier and every query is scoped to it, so a workspace is structurally incapable of reading another's data. Client portal links are similarly narrowed to a single client.
Can I get my data out?
Yes, and without asking us: shipments, invoices and documents export to PDF from inside the app whenever you want, including after a subscription lapses. Your records are not a hostage.
Who can see what inside my own team?
Four roles ship out of the box — admin, operations, finance and client — each seeing only the parts of the workspace that concern them. Admins manage roles and seats.
