Terms of Service

The agreement between us and your business. Plain terms, no surprises in the billing.

1. The agreement

These terms are between [Registered company name] Ltd (“we”) and the business that opens an account (“you”). Creating an account accepts them. If you are accepting on behalf of a company, you confirm you are authorised to bind it.

2. Your account

Each account is a workspace for one freight forwarding business. You are responsible for your users, for the roles you grant them, and for keeping credentials secure. Tell us promptly if you believe an account has been compromised. Admins may add and remove users at any time, subject to the seat limit of the plan.

3. Free trial

Every new workspace gets 14 days free, with no payment details required to start. When the trial ends the workspace becomes read-only: you can still read and export everything, but you cannot create new records until you subscribe. We do not delete anything when a trial lapses.

4. Plans, prices and payment

  • Plans are quoted in USD and charged in Rwandan francs at the conversion rate applied at the moment of the charge. The rate used and the RWF amount are recorded against every payment.
  • Monthly plans are charged each period. Annual plans are a single up-front payment covering twelve months at a 20% discount.
  • Quoted prices exclude local taxes, which are added where they apply.
  • Renewals are never silent.Our payment gateway has no stored-mandate facility, so each renewal puts an approval prompt on your admin's handset. Nothing is taken without someone approving it.
  • If a renewal is not approved or fails, we retry a limited number of times and email you. If it still has not succeeded the workspace goes read-only rather than being closed.

5. Cancelling

An admin can cancel at any time from the billing tab. Cancelling stops the next charge and keeps the workspace fully usable until the end of the period you have already paid for — it is not an immediate lockout, and it is not a refund of the current period. You can undo a pending cancellation while that period is still running. Payments already made are non-refundable except where the law requires otherwise.

6. Your data

The records you enter remain yours. We process them to run the service and on your instructions — see the Privacy Policy. You can export shipments, invoices and documents to PDF at any time, including after a trial or subscription has lapsed. We do not sell your data or use it to train anything.

7. Acceptable use

You agree not to use the platform to:

  • Break the law, including customs, sanctions, export-control and anti-money-laundering rules that apply to the cargo you move.
  • Upload documents you have no right to hold, or misrepresent the contents of a consignment.
  • Attempt to access another company's workspace, or probe, scrape or overload the service.
  • Resell or white-label access outside the terms of your plan.

We may suspend an account that is causing harm or is materially in breach. Where circumstances allow, we will tell you first and give you a chance to put it right.

8. Documents and compliance

The platform generates customs and shipping paperwork — T1, WH7, IM4, exit notes, invoices and packing lists — from the information you enter. It is a tool, not a customs broker. You remain responsible for the accuracy of every declaration and for filing it with the relevant authority. We give no assurance that a generated document will be accepted by any particular customs office.

9. Availability

We work to keep the service available and monitored, but we do not offer an uptime guarantee on standard plans. Maintenance, third-party outages and events outside our control can interrupt access. Agreed service levels are available on Enterprise terms — talk to sales@freightmanager.africa.

10. Liability

The service is provided as is. To the extent the law allows, we are not liable for lost profits, lost business, demurrage, detention or other indirect losses, and our total liability in any twelve-month period is limited to the fees you paid us in that period. Nothing here limits liability that cannot lawfully be limited.

11. Changes and governing law

We may change these terms; material changes are emailed to account admins before taking effect, and continuing to use the service accepts them. These terms are governed by the laws of Kigali, Rwanda, and its courts have jurisdiction. Questions go to support@freightmanager.africa.
